The successful candidate is expected to be responsible for the provision of administrative and office management support. Key responsibilities include executive support in operations and projects, administration services as well as office management and workfiow coordination.

    1. Executive support in operations and projects
  • Assume the role of the Student Services Committee secretary and carry out the required duties in accordance with the terms of reference of the committee

  • Prepare agenda and record minutes for unit, committee and working group meetings chaired by the Director or his/her nominee

  • Assist in the preparation of reports, correspondences and other documentation

  • Collate and consolidate business reports

  • Schedule and coordinate appointments and meetings

  • Organise and/or coordinate functions, and contribute to projects and events

  • Contribute effectively within the team environment to achieve the goals and objectives of the unit and campus

  • 2. Administration services
  • Develop and maintain a highly organised office administration system

  • Maintain data integrity and confidentiality of information

  • Ensure records are kept confidential and secure

  • Maintain and retrieve information as and when required from the management system/database for reporting

  • Ensure that administrative practices comply with the university and campus policies, Procedures and business rules

  • Contribute in systematising operations so as to improve administrative efficiency and effectiveness

  • 3. Office management and work flow coordination
  • Monitor deadlines and with respective staff to ensure request for information/reports/ action are responded to appropriately and in a timely fashion

  • Assist the Director in monitoring the unit budget and expenditure

  • Coordinate and facilitate administrative processes and procedures

  • In conjunction with the unit's key staff, highlight priority issues to the Director, in order to facilitate strategic leadership, appropriate action and achievement of unit and campus goals

  • Possess a minimum of SPM qualification or an equivalent combination of relevant skills, experience and/or other education and training within a similar role or field.

  • Ability of handle sensitive information appropriately and maintain confidentiality.

  • Ability to handle cash responsibly.

  • Good communication and interpersonal skills and the ability to maintain good work relationships with government authorities.

  • Good work organisation and time management skills with capacity to meet timelines.

  • Able to travel frequently to government offices.

  • Other job related information
  • Extensive travel will be required to government offices such as Ministry of Higher Education, Immigration Department of Malaysia, bank, Stamp Duty office, etc.

  • Possess driver’s license.
