  Responsibilities
 
1. Application selection, admissions and entrance scholarships
• Accurately assess domestic and international student direct entry applications for admissions into course to MUSC against pre-agreed criteria as well as determine the eligibility of entrance scholarship.
• Maintain comprehensive records and track the progress of applications for admissions in the area of responsibility, including qualification requirement, English requirement and age requirement.
• Appraise candidate applications for suitability ensuring consistency and transparency in all decisions.
• Prepare clear written communication of final assessment outcomes and prepare outcome letters accordingly.
• Ensure clear written communication to explain issues related to individual assessment progress.
• Maintain up to date knowledge with changes in relation to international qualifications, education systems and institutions credentials.
• In consultation with Manager, use own discretion to assess course applications of non-guideline institutions or qualifications.
• Maintain specialist knowledge in admissions and assessment process for MUSC.

2. Provision of advice to the student recruitment team and agent
• Assess and provide high-level advice on the impact of proposed changes to admissions requirements.
• Provide timely responses to complex enquiries received by the Client Services and Systems and recruitment team as and when required.
• Provide specialised course information advice to student recruitment team and visiting agents.
• Communicate changes to admission requirements to internal and external stakeholders.
• Manage any enquiries from agents and pathway providers.
• Consolidate assessment skills and provide training and support to junior staff in PSO as well as the recruitment team.

3. Update and maintain of data in Callista and admissions audit
• Maintenance of Admissions’ business procedure and update accordingly as and when required.
• Ensure Callista is updated to reflect the current status of applications and that the relevant communication is generated based on the most up-to-date outcome.
• Undertake systematic and ongoing audit checks as required to provide quality assurance.
• Proactively suggest and affect improvements to business processes.
• Be accountable for data integrity of student records in Callista.
• Initiate and generate reports from Callista pertaining to assessment data.

4. High level of engagement and participation in daily activities and projects
• Cooperate effectively with schools, other units of the campus and with relevant units in Australia in daily activities and projects.
• Ensure an effective workflow of application and a high level of service standards.
• Collaborate with colleagues to achieve quick turnaround of applications.
• Provide input to the improvement or modification of workflow processes within the assessment team and wider PSO.
• Review and recommend processes to meet the Department’s targets.
• Participate in campus recruitment events such as Open Day, Graduation Day, Application Day and other as assigned by Senior Manager, Prospective Students Office.

5. Other administrative duties
• Assist with the reviewing of annual publications such as domestic and international application guides, brochures and websites for future students.
• Maintain and update the Entrance Scholarship website annually and as when required.
• Attend relevant committee meeting as required.
• Accept delegations and other duties as assigned by the Senior Manager, Prospective Students Office.
 
  Requirements
 

    Mandatory criteria:
    • A relevant degree or diploma level qualification or an equivalent combination of education/training and student selection work experience.
    • Highly developed written and verbal communication skills with the ability to communicate complex technical information to an international and domestic audience unfamiliar with Australian higher education jargon and the English language.

    Essential criteria:
    • Demonstrated successful experience in the selection students with international qualifications for admissions.
    • Ability to work in a highly volume-fast pace environment. Highly competent, experienced and effective at managing time and prioritising workload to meet deadlines.
    • Highly familiar with the use of technical reference material and with the organisations that provide guidelines for the assessment of overseas qualifications.
    • High level of interpersonal and communication skills in dealing with clients and staff.
    • Demonstrated experience in the interpretation and application of academic and administrative policy.
    • Sharp accuracy and attention to detail.
    • Conversant with the principles of quality assurance and the application of these principles to administrative processes.

    Desirable criteria:
    • Experience with Student Administration systems, preferable Callista.
