Plan, screen and manage daily appointment involving internal and external parties.
Monitor Board and SLT meetings.
Plan and organise department meetings. Manage the schedule, facilities, logistic and F&B requirements.
Prepare meeting agenda and gather the meeting presentation or reports prior to meeting.
Plan and prepare travel arrangements, itinerary, visits agenda, travel documents, accommodation and transport. Monitor its cost and staff’s entitlement according to the Company’s policy.
Prepare business expenses and claims according to the Company’s policy and follow through the process.
Vet incoming business documents that require approval. Check on its validity according to the Company’s policy.
Handle outgoing documents and monitor the dateline.
Manage incoming invoice for approval from account’s payment system [Esker] and office automation request via IT Desk Portal. Obtain its justifications and validity for approval from requestor and/or relevant party before hand in for approval.
Screen incoming emails and prioritise items that require immediate attention.
Draft emails and business correspondences.
Effective filing and retention of document including confidential and sensitive matters.
Reporting to the Head of the Division.
Prepare and maintain Division’s Organisational Chart to be uploaded into HR link. Coordinate with other administrators in the Division.
Replenish office stationery for sufficient usage trough SAP system as accordance to the budget.
Monitor office automation functionality. Responsible to log report on any faulty equipment through IT Desk Portal or recommended vendors.
Liaise with various departments’ Secretary or Administrator on any administrative, business issues or meeting arrangements.
Point of contact for all HR related matters, distribution of business newsletters, memos and other administration matters.
Screen incoming calls and manage enquiries.
Extend administration assistant to line managers.
Degree in any field of studies, with 1-2 years of related working experience.
Good communication skills, with fluency in both spoken and written English and Bahasa Malaysia.
Proficient in the use of Microsoft Office applications, such as Word, Excel, PowerPoint and Outlook.
